Independent Carrier Policy

Using a carrier other than FedEx Express and Air or UPS? Review the following information before shipping your materials.

Arrival

  • Items shipped in advance of the fair must be addressed using the parameters outlined on the Shipping Materials page.

    • Note: Any packages sent directly to the Bryce Jordan Center will be refused and returned. This may cause your materials to be unavailable the day of the event.

  • Items arriving with an independent carrier for assembly on the day of the event may not arrive to the Bryce Jordan Center prior to 5:00 a.m. that morning.

  • The carrier must be in and out of the building by 7:00 a.m. on the day of the event.

  • At all times, the Organization is responsible for its own property.

Departure

  • The Carrier may not arrive to pick up materials prior to 4:00 p.m. (the established event end time). Please Note: Loading docks will not be accessible until 4:45 p.m..

  • The Carrier must exit the building before 6:00 p.m. on the day of the event.

  • The Organization is responsible for delivering their outgoing shipment directly to the Carrier and may not leave any of its property unattended at the conclusion of the fair. The Pennsylvania State University (PSU) shall have no responsibility for any property of the Organization and the Organization agrees to release and hold harmless PSU for any such damage or loss of property. Any property left in venue after the established time shall be disposed of by the cleaning crew.

Vehicle Policy

Indicate on your registration form if you are planning on bringing a vehicle. You will be sent a detailed email with instructions along with a form that requires your signature acknowledging the information below:

  • Vehicles are only permitted in booths at Fall and Spring Career Days.

  • The number of booths that are permitted to house vehicles are limited to a certain area of the fair, as per BJC policies. We can only accommodate vehicles in those booths (specific booth requests may not be accommodated).

  • When bringing a vehicle to a Penn State Career Fair, you must purchase enough booths to accommodate the vehicle in addition to the booth representatives. Booth space is approximately 8’ x 8’. At least 1-2 extra booths will be required when bringing a vehicle. A reduced rate of $700 will be applied to the booths that house the vehicle.

    • Example: For a truck that is 231 inches long and 86 inches wide, 3 booths must be purchased to accommodate the vehicle, and at least one booth must be purchased to accommodate representatives (up to four representatives).

    • The total cost for the above scenario is $2850 (three booths at a reduced rate of $700, and one at the standard rate of $750).

  • We request that you arrive early to ensure you that there is room to accommodate the in-take of your vehicle. You must arrive no earlier than 5:00 a.m. no later than 7:30 a.m. on your first day at the fair. This will help us alleviate any safety issues with driving the vehicle in.

  • When you arrive, the vehicle will enter through the loading dock at the Bryce Jordan Center (West Truckway). You will bring the car to Employer Registration, as marked on the parking map, and we will assist you with moving the car into your booth.

  • You cannot have more than 1/4 tank of gas when you arrive and you must disconnect the vehicle's battery when your vehicle is positioned in your booth.

  • No wheel cleaner or shine is allowed to be applied to the vehicle while it is in the building.

  • You will only be permitted to exit the building after all other booths have departed on your last of the fair; again, this policy is to avoid any safety issues.
