Free Event Posters for Recognized Student Organizations

Recognized Student Organizations are eligible for free posters for their registered events courtesy of the Student Initiated Fee. 

Each approved registered event is entitled to:

  • One large poster (24" x 36") OR
  • Two medium posters (18" x 24")

Free posters are printed on standard paper and must promote an upcoming event. The current 25Live event confirmation number is required. Additional posters may be purchased.

Please note: This offering is for registered student organizations ONLY.

Payment and Timing
We require payment before printing posters. Please allow 2 academic days for regular printing and 4 academic days for banners from the time we receive payment. Thank you.

Large-Format Poster Printing

Student Organization Printing Support prints large-format posters for recognized student organizations, Student Affairs offices, and other Penn State departments/units. 

Posters can be either 24 inches or 36 inches wide and printed on a variety of papers. Files should be at least 300 dpi and saved as a .jpg or .pdf. 

Please allow a minimum of two academic days for the printing of posters. 

If you will be reserving a poster space in the HUB for your poster, please read their specifications and guidelines (under "sign and poster policies." )

Indoor & Outdoor Banner Printing

Student Organization Printing Support prints banners for recognized student organizations, Student Affairs offices, and other Penn State departments/units.

Banners can be either 24 inches or 36 inches wide and up to 100 feet long. Outdoor banner materials must be printed on matte canvas or opaque scrim. Indoor and outdoor banner materials are tear and water-resistant. Grommets can be installed by request for no additional charge. 

Please allow a minimum of four academic days for the printing of banners.

We have samples of our materials on display in the Student Organization Printing Support office, room 201 Boucke. We can consult with you on the best option for your project. We can also provide you with a quote for UPAC requests and budgeting purposes.

Student Organizations paying with a purchase order from their ASA account and Student Affairs offices paying with a budget/fund number receive discounted pricing. 

Our prices are determined per square foot:

  • Polypropylene (plastic paper) or Dupont Tyvek (non-woven fiber) = $3.00 per square foot

Common Questions

Do you print flyers?

No. However, flyers can be printed by the HUB Copy Center. They are located in the id+ office on the lower level of the HUB-Robeson Center or you can email hubcopycentral@psu.edu or call 814-863-2988 

Do you offer lamination?

No. However, the Multimedia Print Center offers lamination. They are located in the Hostetter Business Services Building. https://multimediaprint.psu.edu/.

Can you provide poster board?

No. However, the Multimedia Print Center can mount posters on poster board. They are located in the Hostetter Business Services Building. https://multimediaprint.psu.edu/.  

Can you expedite my request? I really need this today.

Typically, we cannot expedite your request and require at least two academic days for printing of posters and at least four academic days for printing banners. During less busy times of the year, we may be able to have your print ready sooner, but we cannot guarantee it. Please plan accordingly. 

Can you print pull-up display banners?

No. These have to be ordered through a display vendor. You can view a list of licensed vendors on Penn State’s licensing website. 4Imprint and Displays2Go are two vendors that we use often for these displays.  

Can you cut my poster/banner?

We do not offer cutting services. If you chose a width other than 24” or 36” your poser/banner will have white space around the image, and you will still be charged for the full size of the paper. If you would like it cut to size, you will have to do that yourself.

The Multimedia Print Center does have the ability to cut to custom sizes. They are located in the Hostetter Business Services Building. https://multimediaprint.psu.edu/.  

Can I pay ahead of time?

Yes. The request form will ask for your ASA PO number or Penn State budget information. If you are paying with a budget number, your unit will not be charged until the end of the month. If you are paying with a Purchase Order, you will need to go to the ASA Office in the HUB to pick up a Purchase Order and bring it to use in the Student Organization Printing Support office prior to or at the time you pick up your poster.  

Will you send me an invoice or IDCC?

If you are paying with a budget number, your unit will receive an invoice from us at the end of the month. It will happen automatically, and you do not need to take any additional steps. If you also need a receipt for your finance office, we provide that, by request, at the time of pick up.  

What is a purchase order and how do I get one?

A purchase order is a document that verifies that you have funds in your ASA account, which is the financial account for your student organization. To get a purchase order, you must go to the ASA office in 240 HUB-Robeson Center and let them know the final cost of your poster. They will give you the paperwork and you will bring that along when you pick up your poster. The funds will be removed from your organization’s account at the end of the month. 

What qualifies for a free poster?

In order to qualify for a free poster, a group must be a recognized student organization and the poster must promote an upcoming event. We will ask for your current 25Live event confirmation number when you submit your poster request. Please submit the 25Live confirmation number for your event room reservation, not a table or poster spot reservation. If your event is being held off campus, you may not have a confirmation number. Please let us know the location of your event when submitting your order. If it is not clear from the content of your poster what even you are promoting, we may ask for clarification. Keep in mind that posters must list the name of the recognized student organization sponsoring the event. 

Can I pick up my poster without paying?

No. We require payment prior to picking up your poster. You can pay ahead of time or at the time you pick up, but we will not give you your poster without payment.

What if I realize I made a mistake or typo after I submitted my poster?

If your poster has already been printed, you are responsible for paying for a reprint due to any mistakes in the file you provided. If the poster was a free poster, you will be required to pay the appropriate cost for the reprint. We cannot offer a second free poster due to a mistake with the file that was provided. Please proof carefully before sending your file. 

What if my poster is removed or destroyed from the poster stands in the HUB

For Student Organization posters that are stolen or damaged from the HUB poster stands. Student Organization Printing Support will reprint at no cost to the student 1 time only. We will reprint the number of posters initially requested and damaged. If posters are damaged again, the student organization or an individual must pay.

If posters are damaged or stolen from other locations, the student organization or individual is responsible for payment for any reprints. 

Reprints will still require a 2-day turnaround for printing. 

Are there any specific requirements for posters that will be placed in the HUB-Robeson Center

If you will be reserving a poster space in the HUB for your poster, the size must be 24"x 36" vertical and the poster must clearly and visibly state the name of the student organization sponsoring the event. Please read the full specifications and guidelines for signage in the HUB-Robeson Center (under "sign and poster policies." )
